I uploaded my documents directly into a collection. Are they still on the Asset Management System if I search for them?


Yes! Your resources are safe and sound as soon as they are uploaded to the Asset Management System. Content is searchable and accessible regardless of whether it is in a collection or in the larger Asset Management pool.


 


What’s the difference between a DAM and an AMS?


The words DAM – digital asset management – and AMS – asset management system – are often used interchangeably and both refer to the system in place to organize, manage and distribute digital content.


 


I deleted a collection is what was inside of it still on the Asset Management System?


Deleting a collection will just delete the collection framework, not it's contents. If you want to delete content from a specific collection, select Delete all resources from your Actions menu and the items will be deleted. If you just want to remove the content's from a collection and keep them on the Asset Management System, select Clear all resources from the Actions menu.


 


Help! I’m getting weird results returned in my search.


Confirm that you have cleared the search panel before entering in new search terms. Old search terms may be populated in the panel triggering your unexpected results.


 


My collection drawer is getting crowded. What can I do to tidy things up?


While you have the ability to create an unlimited number of collections and house them in your collection drawer, you have several options to tidy things up. If you are no longer using a collection, you can Clear all resources and Delete the collection. The collection contents will remain in the AMS and the collection will be gone from your drawer.


If you navigate to My collections at the top of your page, you will see a list of all of the collections you have created. If you don’t want to see a specific collection in your drawer, simply uncheck the option to Show in collection bar. Refresh your page and the collection will no longer be visible in the drawer. Alternatively, if you want to add a collection back into your drawer, simply check the box to Show in collection bar.


 


Can I share a collection and only allow the recipient to see the content and not download it?


Absolutely! When you share your collection, make the Access on the shared collection Restricted. This will allow your recipient to see the collection but restrict them from downloading it.


 


Can I access my Asset Management System from my mobile device?


It’s easy to access your AMS from your phone or mobile device. Just log in and use as you would from your computer.


 


I need to select multiple resources at once. Is there a shortcut for that or do I need to check and uncheck every box? 


There’s a great shortcut you can use to save some extra clicks. Check the box of the resource you want to start with, hold down your shift key and check the box of the resource you want to end with. All of the content in between will now be selected. The same holds true if you want to uncheck your resources.


 


I spelled a name wrong in the metadata of an entire collection that I uploaded. Is there an easy way to fix that without going into every single file?


You can easily adjust metadata with just a few clicks. To edit metadata on an individual resource, simply select the pencil tool or Edit tool for an individual file and adjust as many fields as needed. To edit metadata on an entire group of resources, you can use your Actions buttons or Create a collection and adjust all of these gathered resources at once. Once you save the changes, all files will be adjusted.


 


I just uploaded a new video from my phone and didn’t add any metadata. How do I find it?


There’s a great Recently added tool at the top of your screen. This will show the 1000 items most recently uploaded to the Asset Management System. Use this to find content you need to adjust or newly posted resources from within your organization.


 


I made a collection and shared a link for it. If I add additional content to that collection, will it be visible by those who have the link?


Yes. New content added to an old link will be visible via the original link.


 


Can a resource live in multiple collections? Or does it live only in one?


A resource can live in multiple collections that you have and simultaneously live in other user’s collections. Keep in mind, metadata is a global property of a given resource.


 If a change is made to a resource, the change will be visible wherever the resource exists.


 


I shot RAW Files on my photo shoot. Can I upload them?


RAW files can absolutely be uploaded to the asset management system.


 


I have a lot of video footage to add to the asset management system. Is there a fast way for me to add it?


Content can be added to the AMS via the web uploader or via FTP and the FTP may be a faster way to handle a bulk upload. You can also ship your content to us and we can upload directly at one of our data centers.


 


I uploaded my files to the asset management system and I don’t see the previews yet. Do I need to do anything?


Once you upload content to the asset management system, previews are queued in the background. If you give it just a minute and refresh your page, previews will be visible.
